Manage directory leads as accountable handoffs
An operating process for consented listing inquiries that keeps context, delivery, access, privacy, and follow-up ownership clear.
The practical answer first
Directory lead management should preserve the selected listing and campaign context, collect explicit consent and minimal contact data, validate and protect intake, route email or signed webhooks to named owners, monitor delivery failures, retain an exportable record, and define access, retention, response, and escalation rules.
For directory operators, partnerships teams, publishers, agencies, and associations receiving inquiries on behalf of listed organizations.
Use this playbook before enabling lead forms or when messages are being delivered but response ownership and downstream status are unclear.
Define the handoff promise
State who receives an inquiry, what information is shared, the expected next step, and whether the directory operator remains involved. Avoid promising provider response or suitability. Make the form label and success message match the actual routing configuration.
- Choose one directory-wide form purpose.
- Keep listing context attached automatically.
- Publish a clear privacy and consent explanation.
Protect intake and private data
Collect only needed name, email, company when useful, message, and explicit consent. Use validation, honeypots, rate limits, and safe error messages. Restrict staff access, avoid putting private details in URLs or public logs, and define how exports are stored and deleted.
- Separate visitor contact from public listing fields.
- Do not request sensitive information casually.
- Review data retention with appropriate stakeholders.
Operate delivery and failure handling
Configure accountable email recipients and signed webhook endpoints, verify signatures, and monitor recent outcomes. Define what happens when one or all channels fail, when a destination changes, or when duplicate events arrive. A successful form acknowledgement is not proof that a human received the lead.
- Test email and webhook paths independently.
- Assign a delivery-monitoring owner.
- Keep CSV export as a reconciliation tool.
Review quality and downstream ownership
Track aggregate inquiry volume by listing or category, spam, delivery errors, support contacts, and qualitative fit. Directoryz does not provide provider inboxes or full CRM outcome tracking, so define downstream follow-up outside the product and avoid reporting unverified revenue attribution.
- Set a response and escalation process externally.
- Review listings that attract poor-fit messages.
- Change form fields only when evidence supports it.

Frequently asked questions
Can Directoryz send leads to a CRM?
Directoryz can send signed webhooks to a configured receiver, which can integrate with a CRM. It does not claim native support for every CRM or guarantee the receiver's downstream processing.
Does Directoryz email each listed provider automatically?
Lead settings use configured notification recipients and signed webhooks while retaining listing context. Directoryz is not a provider self-service inbox or per-provider account system.
Can leads be exported?
Yes. Directory lead records support CSV export. Handle exported contact data under the directory's consent, access, retention, and security policies.
